Job Description

Overview We are seeking a dynamic and highly organized Office Secretary to join our team! This vital role ensures the smooth and efficient operation of our office environment by providing exceptional administrative support, managing communications, and maintaining organizational workflows. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a professional and welcoming atmosphere. Responsibilities Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately Manage multi-line phone systems, screen calls, take messages, and transfer calls efficiently Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry tasks accurately using Microsoft Office, Google Workspace, and bookkeeping software such as QuickBooks Handle calendar management and scheduling for meetings, appointments, and events with precision Assist with basic bookkeeping duties including invoicing, expense tracking, and reconciling accounts Provide excellent customer support by responding promptly to inquiries via phone or email and offering helpful solutions Support office management tasks such as ordering supplies, organizing files, and maintaining office equipment Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Bilingual abilities are a plus to assist diverse client needs and enhance communication Demonstrated clerical experience including filing, data entry, and document management Exceptional phone etiquette with experience managing multi-line phone systems and providing customer service excellence Proven time management skills with the ability to handle multiple responsibilities simultaneously Personal assistant or office experience that showcases calendar management and administrative support capabilities Join us in creating a professional environment where your organizational talents shine!
