Under general supervision, the Administrative Assistant I (PT) performs routine administrative work to support the functions of the Fleet & Facilities Department and provides technical assistance to internal and external customers.
PRINCIPAL DUTIES AND RESPONSIBILITIES
Receives telephone calls and visitors to the Fleet & Facilities office, answers questions and assists internal and external customers, and responds to email correspondence and inquiries. Performs a wide range of administrative duties, including preparing correspondence and various reports, copying and collating materials, processing incoming and outgoing mail, filing, data input, document maintenance and destruction, general research, records retention, invoice processing and payment, ordering office supplies, etc. Maintains thorough knowledge of overall department operation to better direct incoming inquiries and direct customers to appropriate personnel, and provides technical support to other departments. Inventories, orders, prepares, and restocks departmental supplies, including general office supplies, and any other forms/paperwork necessary for employee or City needs. Responsible for maintenance of copier/scanner/fax to include daily restocking of materials, troubleshooting, and placing calls for routine and specific maintenance. Assists in planning and coordination of special programs and/or projects as assigned, and reviews all departmental correspondence to ensure clarity and grammatical correctness. Perform other related job duties and projects as assigned.
KNOWLEDGE SKILLS AND ABILITIES REQUIRED
Must have proficient computer skills and knowledge of various computer programs. Knowledge of general office procedures and work methods. Excellent oral and written communication skills (grammar and spelling). Must have excellent customer relations skills with the public and other departments. Ability to demonstrate a professional demeanor and understand office etiquette. Ability to work 20-25 hours per week with schedule flexibility. Ability to make decisions in accordance with department precedents and regulations. Must have the ability to maintain confidentiality and apply discretion accordingly. Must have the ability to work well in a group and individual setting. Must have verifiable computer skills using Microsoft Office products, including Excel, PowerPoint, Word, Outlook, and Teams.
MINIMUM EDUCATION AND EXPERIENCE REQUIRED
High school diploma or equivalent plus a minimum of two (2) years of customer service, office administration, or related experience is required. An equivalent combination of education and experience may be considered. Experience with mainframe processing, including AS400, is preferred. English/Spanish bilingual ability and work experience in a municipality are preferred. Must possess a valid Texas driver's license with a good driving record. Must be able to work outside of normal business hours on occasion.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
Sitting, walking, standing, bending, stooping, lifting, and reaching are required. Repetitive movement of the wrist and fingers during computer data input is required. Must be able to lift and carry 25 pounds on an occasional basis. 50 - 100% of the day using a computer. Maintains static posture during sitting. Works primarily indoors in a controlled environment. Must be able to work at outside City events occasionally.
