Job Description

Job Summary - Administrative Assistant to Senior Officers and Executives Mount Olivet Cemetery Association is seeking a dynamic and highly organized Administrative Assistant to provide comprehensive administrative support to senior leadership, ensuring smooth daily operations and effective communication across departments. The ideal candidate will be proactive, detail-oriented, and possess exceptional multitasking abilities. Your energetic approach will help foster a productive work environment, enabling executives to focus on strategic initiatives while you manage essential administrative tasks with precision and professionalism. Work schedule is generally Monday-Friday, 8:00 a.m. to 5:00 pm; however, travel to and attendance at out-of-town conferences will be required 1-2 times per year, including paid weekend hours. Duties Manage complex calendars, schedule meetings, and coordinate appointments for executive leadership with efficiency and attention to detail Handle multi-line phone systems, screen calls, take messages, and direct inquiries appropriately using excellent phone etiquette Prepare, proofread, and edit correspondence, reports, presentations, and other documents to ensure accuracy and clarity Maintain organized filing systems both physically and digitally, including data entry and document management using tools like Microsoft Office Support office management functions such as supply inventory, equipment maintenance, and front desk operations to create a welcoming environment Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and manage financial records Provide personal assistant support including travel arrangements, calendar management, and task prioritization to optimize executive productivity Work cooperatively with and support other Administrative Assistants to ensure the executive offices run smoothly Skills Demonstrated proficiency in office management software including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); ability to use Canva or other desktop publishing software will be helpful Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Excellent typing speed combined with meticulous proofreading skills for professional communication Experience with clerical duties such as filing, data entry, and document organization in an office setting Exceptional customer service skills with a friendly demeanor for front desk duties and client interactions Knowledge of office equipment operation including multi-line phone systems and front desk procedures Effective time management skills to handle multiple responsibilities seamlessly while maintaining high accuracy levels Demonstrated ability to maintain confidentiality Professional grooming and suited appearance are required Join us in this exciting role where your organizational prowess and energetic attitude will make a meaningful impact!
