Primary Purpose:
Assist with daily operation of the maintenance office and provide clerical services to the Director of Maintenance.
Qualifications:
Education/Certification:
  • High school diploma or
GED Special Knowledge/Skills:
  • Proficient keyboarding and file maintenance skills.
  • Effective communication and interpersonal skills.
  • Ability to use personal computer and software to develop spreadsheets, databases, and do word processing.
  • Knowledge of basic accounting procedures.
  • Budget and purchasing experience preferred.
Experience:
  • Three years secretarial experience, preferable in public education environment.
Major Responsibilities and Duties:
Records, Reports, and Correspondence 1. Prepare correspondence, memorandums, forms, requisitions, and reports for maintenance office using personal computer. 2. Compile pertinent data to prepare various required state and local reports. 3. Maintain physical and computerized departmental files, including preventive maintenance data and work orders. Phones 1. Answer incoming calls, take messages, and route them to appropriate staff. 2. Answer incoming calls and handle questions and requests that fall within level of responsibility. Accounting 1. Perform routine bookkeeping tasks, including simple arithmetic operations to maintain department budget records. 2. Monitor and process all budget activities for Maintenance. 3. Prepare and process all purchase orders and direct pays and maintain the records of all purchases. 4. Perform routine bookkeeping tasks. 5. Process and maintain records of all department travel following established guidelines; process expense receipts for reimbursement. Other 1. Order office supplies for department. 2. Order all campus/department custodial supplies. 3. Maintain the department webpage. 4. Welcome visitors and handle their requests or refer them to appropriate personnel. 5. Maintain effective rapport with general public and handle any problem or concerns in a prompt and courteous manner. 6. Maintain a schedule of appointments and make arrangements for conferences and interviews. 7. Assist with vehicle reservations and associated charges. 8. Maintain vehicle registrations and proof of insurance. 9. Maintain district key checkout. 10. Facilitate the annual purchase of Maintenance and Custodial uniforms.
