Part-time to start, with room to grow. About Forge Forge Physical Therapy is a boutique, evidence-based outpatient clinic in Frisco, TX. We're in-network with the major carriers, but we run the practice deliberately — smaller caseloads, a calm front desk, and an experience that feels more like a premium clinic than a busy insurance mill. Patients notice the difference from the first phone call, and the front office is where that impression starts. We're a growing practice, and we're looking for an organized, warm, detail-driven Front Office Administrator to own the patient-facing and behind-the-scenes operations that keep the clinic running smoothly. Why this role matters In a boutique practice, the front desk isn't an afterthought — it's a core part of the experience. You'll be the first person patients talk to and the last person they see, the one who makes insurance make sense, and the one who keeps the schedule and the billing tight. Because we're early in our growth, you'll also help build the systems and routines that future team members will run on. Your work sets the standard. What you'll do Greet and care for patients in person and by phone, setting a professional, welcoming tone for every visit. Verify insurance benefits before the first visit — confirm eligibility, coverage, copay, deductible status, and visit authorization, and communicate what patients can expect in clear terms. Collect payments — copays, deductibles, and outstanding balances — accurately and comfortably, and keep patient accounts current. Schedule and manage appointments in our EMR, coordinating evaluations and follow-ups to keep the calendar full and flowing. Run the EMR day-to-day (we use Jane App) — patient intake, records, scheduling, and payment workflows. Coordinate referrals and records with referring physician offices, keeping documentation and authorizations organized. Keep the front office humming — manage the inbox and phones, handle patient questions, and support the clinical team with clean, timely administrative work. Protect patient privacy — handle all patient information in a HIPAA-compliant manner. What we're looking for Required Prior front-office, medical reception, or patient-facing administrative experience — ideally in a healthcare, PT, chiropractic, dental, or medical setting. Comfort verifying insurance benefits and explaining coverage, copays, and deductibles to patients. Confidence collecting payments and handling patient balances. Strong computer skills and the ability to learn an EMR/practice-management system quickly. Excellent communication, a warm and professional demeanor, and genuine attention to detail. Reliability, discretion, and the ability to keep sensitive information confidential. Preferred Experience with Jane App or a similar EMR/scheduling platform. Familiarity with physical therapy or outpatient rehab billing and workflows. Experience with the major carriers we work with (BCBS, Cigna, Aetna, UnitedHealthcare, Medicare).
