Full Job Description Job Summary:
Rock'em is seeking a proactive and highly organized Personal Assistant to provide comprehensive administrative support to our CEO. This role involves managing schedules, coordinating projects, handling correspondence, organizing personal matter, and ensuring smooth daily operations. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and a positive attitude, all while maintaining professionalism in a fast-paced environment. This position offers an exciting opportunity to contribute to the efficiency and success of our organization while developing valuable skills in office management and executive support.What you will be doing:
Creating and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision. Provide executive administrative support by preparing reports, proofreading documents, transcribing notes, and handling correspondence efficiently. Coordinate various projects and events, including planning logistics, managing vendor/partner relationships, and ensuring deadlines are met. Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records for easy retrieval. Handle multi phone calls with professional phone etiquette; screen calls and direct inquiries appropriately. Utilize office software such as Microsoft Office Suite (Word, Excel, PowerPoint) to produce high-quality documents; perform proofreading to ensure accuracy. Support bookkeeping activities through invoicing, expense tracking, and reconciling accounts using QuickBooks or similar tools. Maintain confidentiality of sensitive information while providing seamless support for busy executives.Required Skills:
Proven experience as a Personal Assistant or in an administrative role with strong organizational skills. Excellent proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and office management software like QuickBooks. Strong typing speed with high accuracy; capable of transcription and data entry tasks efficiently. Exceptional calendar management skills Calendar and Google Calendar; adept at scheduling across multiple stakeholders. Effective communication skills with professionalism Demonstrated ability to coordinate projects and events from inception to completion with attention to detail. Office experience including filing systems and customer service excellence. Knowledge of office equipment operation such as printers, scanners, and fax machines. Ability to multitask effectively in a fast-paced environment while maintaining a positive attitude.
