Job Description

Administrative Assistant - Operations & Sales Support Position Summary Aureus Energy is seeking a highly organized, dependable, and proactive Administrative Assistant to provide direct support to the Operations team while maintaining a collaborative support role with the Sales Team. This position plays a key role in ensuring operational processes, communication, documentation, and coordination are executed efficiently and accurately across the organization. The ideal candidate will be detail-oriented, adaptable, and able to manage multiple priorities in a fast-paced environment where organization, communication, and attention to detail are critical. This role will primarily support Operations leadership and field coordination efforts, while also assisting Sales with administrative tracking and project coordination as needed. Key Responsibilities Operations Support Provide direct administrative support to the Operations leadership and field support teams with completion of field tickets, daily, weekly and monthly. Assist with daily coordination of field operations and project tracking Maintain accurate documentation, operational reports, and daily field records Support communication between field employees, office staff, vendors, and leadership Track operational deadlines, approvals, compliance items, and project updates Help monitor operational efficiency and ensure accurate and timely reporting of field activities Sales Support Provide administrative support to the Sales Team and leadership as needed Assist with customer account setup, proposal organization, and sales documentation Track customer follow-up, project opportunities, and pipeline updates Support customer communication and maintain professional client relationships Administrative Support Prepare spreadsheets, reports, and internal communications Maintain organized filing systems, records, and department documentation Answer calls, emails, and route inquiries appropriately Assist with special projects and executive requests as assigned Qualifications High school diploma required; Associate's degree preferred 3+ years of administrative support experience required Previous experience supporting operations, sales, logistics, or field services preferred Strong proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) Excellent organizational, communication, and multitasking skills Strong attention to detail and problem-solving abilities Ability to manage deadlines and shifting priorities effectively Professional handling of confidential and sensitive information Experience in oil & gas, construction, or industrial operations strongly preferred Preferred Skills Leadership & Communication Strong ability to support leadership and high-level operations Able to communicate effectively and professionally with field employees, customers, and all levels of the organization Builds strong working relationships through clear communication, follow-up, and collaboration Maintains professionalism when handling employee concerns, customer requests, and operational coordination Personal Effectiveness Self-motivated with strong follow-up and accountability Strong sense of urgency and attention to detail Ability to work independently while supporting a team environment Adaptable in a fast-paced operational setting with changing priorities
