Job Description

Role Summary We are seeking a detail-oriented and organized Office Assistant to support our administrative team. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency with various office management tools. This role involves handling front desk duties, managing correspondence, and providing exceptional customer service to ensure the smooth operation of our office environment. Prior office experience and familiarity with software such as Microsoft Office, QuickBooks, and other professional tools are highly valued. The Office Assistant will play a vital role in maintaining efficient office workflows and supporting daily administrative functions. Excellent role for recent graduate with marketing or management degree Responsibilities Greet visitors and manage front desk operations with professionalism and courtesy Answer multi-line phone systems, direct calls appropriately, and handle inquiries efficiently Perform data entry, filing, and document proofreading to ensure accuracy and organization Manage calendar appointments, schedule meetings, and coordinate events Assist with bookkeeping tasks using QuickBooks or similar software Support office and building management activities including supply inventory, equipment maintenance and vendor management Provide customer support via phone, email, or in person, ensuring excellent service standards Prepare correspondence, reports, and presentations using Microsoft Office Suite and designated tools Maintain organized files both digitally and physically for easy retrieval Handle duties to support daily operations Support media presence and marketing events Projects as assigned Skills Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint) Experience with office management software such as QuickBooks is required Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent phone etiquette and customer service skills for front desk interactions Demonstrated clerical experience including filing, data entry, and proofreading Knowledge of calendar management and scheduling tools for efficient appointment setting Strong computer literacy with the ability to adapt to various office systems Exceptional time management skills to prioritize tasks effectively Previous experience as an administrative assistant or personal assistant is advantageous Ability to handle confidential information discreetly and professionally Education Bachelor's degree in Marketing or Management preferred
