FUNCTION
Provide administrative support to the Dual Credit Director in daily operations of the Dual Credit, Early Admissions and Tech Prep Program. Responsibilities include but are not limited to processing Dual Credit student registration and withdrawals, grade reports, test scores; maintaining and updating student files and statistical reports, serving as point of contact for parents and high school counselors; preparation, setup and participation in Parent/ Student nights and Orientation sessions
Essential Job Functions:
As lead office staff, communicate with Director and staff members to manage the daily workflow and insure the overall effectiveness and efficiency of the Dual Credit office. Communicate with and serve as liaison to staff members of multiple ISD's to facilitate and manage the existing Dual Credit programs, testing opportunities and critical deadlines. Advise dual credit students as needed regarding registration, withdrawals, test scores, testing requirements, etc. Direct, coordinate and process registration and withdrawals for Dual Credit and Early Admission students in Banner Prepare, post, track and monitor payment requirements, grades and class attendance to reflect accurate and current data Apprise and alert Director to critical and/or exceptional situations involving the Dual Credit program In cooperation with Dual Credit director, research and validate applications for Tech Prep credit Manage and maintain dual credit student files to provide current and accurate student status information Track, monitor and notify students with registration barriers of steps to take to achieve clear registration status Enter TAKS scores into Banner and Roster spreadsheets and notify students who need to test Compile, verify and track registration readiness and activity for each DC student per ISD.
Additional Job Functions:
Early Registration On -Site support at U of H Clearlake Compile or correlate identifications of Dual Credit sections and instructors through communication with Academic Offices Dispatch notifications of failing students to appropriate ISD representatives Attend and participate in TACRO college nights , Gulf Coast Tech Prep conference, and Home School Marketing events Track, monitor and catalog classroom assignments and class schedule at U of H Clearlake Coordinate the preparation and assimilation of orientation material and packets Coordinate with co-workers to provide exceptional customer service to students, parents, counselors and university faculty and staff Attend committee meetings as requested to represent and gather information for the Dual Credit department. Correlate the Dual Credit enrollment in evening classes to adhere to seating limit implemented by individual academic departments. Coordinate and assist with preparation and execution of Parent/Student Orientation sessions and
Faculty Luncheons Knowledge, Skills and Abilities:
Excellent computer skills and knowledge of Banner and MS Office Software. Knowledge of various office processes and procedures. Exceptional interpersonal skills and the ability to communicate effectively Ability to multi-task Excellent oral, written and problem solving skills Detail oriented Ability to work with minimum supervision
Required Education:
High School Graduate or Equivalent Preferred Education:
Above requirement plus one (1) year of specialized or technical training beyond high school
Required Experience:
Three (3) years of office clerical or administrative support experience; or an equivalent combination of education and experience to successfully perform the essential duties of the job. Basic to Intermediate skill level in Microsoft Office - Word, Excel & PowerPoint.
Preferred Experience:
Above requirement including one (1) or more years in a higher education environment
Note:
The duties of this position require a physical presence at the assigned on-site work location during unrestricted operations with very limited or no opportunity for remote work arrangements.
Salary Grade:
106 Salary is based on the Board-approved salary schedule for the current fiscal year.
