Job Description

In this role, you aren't just answering phones, you are managing the paperwork. If you are detail-oriented and enjoy a fast-paced environment where no two days are the same, we want to talk to you. Key Responsibilities Provide general administrative and clerical support to management and staff. Manage phone calls, emails, and official correspondence. Maintain filing systems, records, and documentation in both digital and hard-copy formats. Schedule meetings, prepare agendas, and take minutes when required. Coordinate office supplies and maintain inventory levels. Assist with document preparation including letters, reports, and presentations. Support basic accounting tasks such as invoice tracking and expense records. Maintain calendars and assist with travel or meeting arrangements. Liaise with internal teams, vendors, and visitors in a professional manner. Ensure confidentiality of company information at all times. Collect and track Certificates of Insurance (COI) and W-9s to ensure compliance.
Preference:
Female Candidates Qualification:
High School Diploma or Equivalent.
Valid Driver's License Experience:
3+ years of office experience (Legal, Construction or Trades experience is a huge plus).
Tech Skills:
Proficiency in Microsoft Office (Word and Excel are essential).
Communication:
Strong verbal and written skills; comfortable talking to both subcontractors, Clients and other stakeholders.
Mindset:
A "no task is too small" attitude and the ability to stay organized when things get busy.
