Job Description

Job Summary We are seeking a proactive and organized Office Assistant to join our dynamic team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and visitors alike. Your energetic approach and attention to detail will help foster a welcoming environment while maintaining efficient administrative workflows. Duties Greet visitors at the front desk with professionalism and warmth, managing multi-line phone systems with courteous phone etiquette. Manage calendar appointments, schedule meetings, and coordinate office events using Microsoft Office and Google Workspace tools. Perform data entry, filing, and document proofreading to ensure accuracy and organization of all records. Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking. Support office management activities such as supply inventory, equipment maintenance, and general clerical duties. Provide administrative assistance including typing correspondence, managing email communications, and supporting personal assistant responsibilities as needed. Qualifications Proven experience in an office environment with strong clerical skills and familiarity with office management procedures. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy. Experience with multi-line phone systems, calendar management, data entry, filing, and proofreading. Bilingual abilities are highly valued to assist diverse client needs. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Strong customer service orientation coupled with professional phone etiquette. Knowledge of QuickBooks or bookkeeping experience is a plus. Previous roles such as receptionist, medical or dental receptionist, or personal assistant experience are advantageous.
