EDUCATION AND EXPERIENCE
: High School Diploma or Equivalent Two years clerical experience and/or training High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.
PRIMARY PURPOSE SUMMARY
: Provides clerical and administrative support for Director of Testing Services and Assistant Director of Career and Technical Education to ensure efficient operation of the Learning Support Services offices; maintains accurate records using the appropriate management system and maintains accurate budgets and financial records for the assigned program areas.
ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES
1. Supports all aspects of the Testing Services department, including, but not limited to maintaining accurate Campus Test Coordinator (CTC) contact lists 2. Provides, maintains, and balances all aspects of budget and bookkeeping for the Testing Service's department and provides ongoing support throughout the year. 3. Arranges employee travel, including air travel, car rental, hotel, and shuttle transportation to/from airport and provides support to complete travel reimbursement. 4. Adheres to district procedures when collaborating with vendors and purchases to assist the Director in making fiscally responsible decisions on selection of products and services. 5. Monitors and verifies that state testing documentation is submitted in an electronic archive system. Maintains and updates the Testing Services website as directed by the Director. 6. Monitors, maintains, and submits temporary testing warehouse staff human resources and payroll paperwork. Verifies temporary staff payroll times in the district system. 7. Maintains the assigned department or personnel CRMS inventory records on equipment and performs verification annually. 8. Works with the Test Analyst I, II, and Testing Specialist on projects/duties assigned. 9. Utilizes the Internet to seek out information regarding CTE programs to maintain a database for CTE students. 10. Utilizes Skyward to create databases and reports for the CTE department. 11. Maintains databases for Industry Based Certifications, and NCCER testing for the CTE department. 12. Maintains databases for work based learning students, and for teacher certificated auditable by TEA. 13. Assists the CTE Assistant Director with voucher disbursement. 14. Creates and maintains a data filing system. 15. Monitors CTE certification textbooks as new editions roll out and old editions expire. 16. Helps create newsletters, brochures, and correspondence to promote CTE programs. 17. Creates and assists with setup of multimedia presentations. 18. Helps to maintain the CTEC lottery and communicate with all parties as needed. 19. Occasionally required to drive personal vehicle in the performance of assigned tasks 20. Maintains confidentiality of all information. 21. Reports to work on time every day. 22. Performs additional duties and responsibilities as may be assigned.
QUALIFICATION REQUIREMENTS
• Proficiency in Word, Excel, PPT, Google, etc. Knowledge and ability to use computer systems utilized by the Departments of Accounting and Procurement Proficient with written and spoken communication regarding program information to the public Proficient typing, bookkeeping, and file maintenance skills Effective organizational, communication, interpersonal, and problem solving skills Ability to use personal computer and programs to develop spreadsheets, databases, and word processing Ability to handle several tasks simultaneously with frequent interruptions Ability to work independently with minimal supervision Ability to prioritize schedule to maximize workday productivity Ability to communicate clearly and effectively, both verbally and in writing
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear. The employee frequently is required to sit. The employee is occasionally required to stand; walk; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds.
WORK ENVIRONMENT
While performing the duties of this job, the employee is occasionally exposed to risk of electrical shock.
