Job Description Overview The Business Office Coordinator is responsible for managing front desk operations, supporting Business Office functions, and overseeing the daily administrative and support operations for multiple Support Department teams. This role ensures efficient office management, first point of contact for stakeholders, compliance with company communications, and supports Arrow operations by providing operational and team coordination. Perform building open/close procedures. Operate multi-line phone system/ answer, screen, and direct calls appropriately. Welcome and manage on-site visitors, ensuring proper access and communication with staff. Maintain consistent front desk coverage, including buzzer/bell system. Manage incoming/outgoing mail, deliveries, and publications. Oversee daily office operations, ensuring smooth workflow and efficiency. Assist with check processing, donation logs, and tracking spreadsheets. Maintain office policies, procedures, and best practices. Coordinate office supply inventory and procurement. Ensure office equipment and systems function properly. Support employee engagement and office culture initiatives. Maintain accurate and up-to-date records. Prepare reports and confidential correspondence for senior management as needed. Prepare purchase requests and perform invoice processing. Organize programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers, and coordinating with supervisor/next level leaders when necessary. Assist in developing project schedules, setting agendas, facilitation of meetings, and notetaking as needed. Maintain confidentiality of all corporate, personnel and research matters. Maintain positive relationships with clients, vendors, and stakeholders. Execute and maintain approved contracts and service agreements with vendors. Attend trainings and meetings as required. Perform all duties within contract, state and federal regulations, company policy, and regulatory agency standards. May be required to drive vehicles, be insurable with our auto insurance provider, and complete company vehicle training. Occasional travel may be required. Qualifications Bachelor's degree from an accredited College or University required. High School diploma or GED and a combination of 3-4 years of work experience and education in lieu of degree.
