Job Description
JOB SUMMARY
: Provide clerical and secretarial support to the Community Response Unit, Community Response Unit Lieutenant, and Investigative Division Assistant Chief.SUPERVISION RECEIVED AND EXERCISED
Receives direction from the Community Response Unit Lieutenant.ESSENTIAL JOB FUNCTIONS
: Composes and prepare various types of correspondence on general and technical matters of highly confidential nature from rough draft. Exercise discretion and judgment on minor administrative decisions. Organize materials for meetings, appointments, conferences, and travel for unit personnel as necessary. Establish and maintain files, records, and materials on personnel matters, purchasing, budget, and correspondence as directed by the Community Response Unit Lieutenant. Provide information to citizens, city council members, department leaders, and other officials regarding city and department policies and programs and directed by the Community Response Unit Lieutenant. Must have comprehensive knowledge of secretarial methods and modern office practices and procedures; be capable of transcribe dictation. Must have knowledge of general clerical business knowledge, to include, but not limited to the United States English language, spelling, arithmetic, and typing; organize complex records and reports. Act in a professional and helpful manner during nominal and stressful situations. Be capable of using personal computers, which may require working knowledge of specific programs/software. Must be capable of maintaining effective working relationships with co-workers, department leaders, elected and appointed officials, and the general community members. Be capable of coordinating, organizing, and scheduling community-based programs (e.g., Crime Watch meetings, Church and Community meetings, Coffee with a Cop) and other activities for the Community Response Unit. Be capable of ordering necessary materials for crime prevention and community policing activities. Provide updates to officers on appointments, training, community meetings, and other activities performed by the Community Response Team. Be capable of coordinating National Night Out activities for the Community Response Unit and the department personnel. Be capable of organizing, coordinating, and communicating with Crime Watch block captains in all Beats; keeping detailed records on the designated captains and members of each crime watch group and expressed concerns. Assist in the scheduling and planning of Public Safety Cadets activities and training.KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of:
Must have knowledge of general secretarial practices and correspondence preparation, including computers and document presentation. Must follow appropriate Departmental General Orders; administrative directives of the City of Tyler Police Department; and pertinent Federal, State and local laws, codes, and regulations.Environmental Factors :
Involves general office setting that is climate controlled.Physical Requirements :
Office work is largely sedentary with some walking, lifting, and standing required. Must be able to stand 5-10 minutes at a time making copies; sit 2 hours at a time; lift 5-10 lbs.; carry various files and documents weighing 1-2 lbs.; stoop and bend 5-15 minutes daily.MINIMUM EDUCATION, CERTIFICATION, AND EXPERIENCE REQUIREMENTS
: Must have a High School Diploma or GED. Must have over one (1) year of relevant experience. Be familiar with modern office procedures, methods and equipment including computers and related software and equipment. Must be able to type 20-WPM (net) and be able to provide proof of keyboarding skills from a professional employment agency, TPD or the East Texas Workforce Center dated within one (1) year of application. Must have a valid Texas Driver's License with a clear driving record. The City of Tyler will accept two years of relevant experience in place of each year of college required in the job description. Four years of relevant experience will be considered in place of an Associate's Degree, and eight years of relevant experience will be considered in place of a Bachelor's Degree. Any experience required in the Minimum qualifications is in addition to years of experience substituted for a degree. The City of Tyler supports a policy of a drug and alcohol free workplace. All candidates are subject to pre-employment testing, which may include, but is not limited to, Drug and Alcohol Screenings, Work Fitness Evaluation, Criminal Background Check, and Consumer Report/Credit Check. No person under eighteen (18) years of age will be employed in any regular full-time position. Persons under eighteen (18) years of age may be employed in temporary or regular part-time positions, if they furnish the City with a minor's release (Form 2-2) and are approved by the City Manager. No person under eighteen (18) years of age will be employed in any position requiring the operation of a City motorized vehicle.
