Admin Assistant, College of Optometric Medicine
COMPENSATION
&
BENEFITSExpected Salary Range:
$19.00 - $21.00 per hour (Pay is commensurate with experience and qualifications.)

WORK ENVIRONMENT
& SCHEDULEThis position is part-time (28-29 hrs/wk) and primarily campus-based in a professional academic office environment. The role follows a standard business schedule, with occasional flexibility required to support meetings, events, or accreditation activities.
ABOUT THE
ROLEThe Administrative Assistant supports the Doctor of Optometry Program under the direction of the Dean. This role manages a diverse workload, requiring strong organizational skills, self-direction, and proficiency with modern office technology. The position serves as a key liaison between the Deans office, faculty, students, and external stakeholders.

Successful candidates will demonstrate strong organizational and communication skills, effectively manage multiple priorities, build productive partnerships with faculty and staff, and ensure accurate and timely completion of administrative and compliance responsibilities.
WHAT YOU WILL
DOProvide comprehensive administrative support, including document preparation, scheduling, record maintenance, and coordination with university personnel.

Manage calendars, meetings, travel arrangements, and expense reports for the Executives of the College of Optometric Medicine.

Serve as the primary point of contact for internal and external communications.

Assist with accreditation documentation, compliance records (HIPAA, licensure, immunizations), and background checks.

Support faculty and student recruitment, retention, and certification tracking.

Prepare and distribute evaluation materials; record meeting minutes.

Collaborate with academic personnel (registrar, librarian, faculty) and perform general office duties.

Contribute to process improvements and workflow efficiency.
WHAT WE ARE LOOKING FORREQUIRED QUALIFICATIONS
EducationBachelors degree or Equivalent Experience RequiredExperienceMinimum of 2 years of relevant administrative experience; experience in academic or healthcare settings preferred.

Required Skills & KnowledgeKnowledge of FERPA and adherence to confidentiality standardsProficiency with Microsoft Office Suite, especially Word and Excel (including pivot tables)Strong written communication, grammar, and editing skillsAbility to manage calendars, budgets, and complex administrative workflowsExcellent organizational, interpersonal, and problem-solving skillsAbility to work independently, take initiative, and manage competing priorities
PREFERRED QUALIFICATIONS
Experience working in higher education or healthcare environmentsFamiliarity with accreditation processes and compliance documentationDemonstrated experience improving administrative processes and workflows
