On the job training will be given this is a some what entry level job. There is a lot of room for expantion in your role. We are seeking a dynamic and highly organized Secretary to join our team! This vital role involves providing comprehensive administrative support to ensure smooth office operations, exceptional customer service, and efficient communication across departments. The ideal candidate will be energetic, detail-oriented, and possess strong multitasking skills to handle a variety of clerical and office management duties. Bilingual abilities are a plus, enabling effective communication with diverse clients and team members. Duties Manage front desk responsibilities, including directing phone calls using multi-line phone systems with professionalism and courtesy Handle incoming correspondence, emails, and inquiries efficiently, ensuring timely responses and follow-up Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office Suite Perform data entry, proofread documents, and prepare reports with accuracy and attention to detail Schedule appointments, coordinate calendar management, and organize meetings for executives or team members Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping Support office management activities such as ordering supplies, managing office equipment, and overseeing general administrative functions Provide excellent customer service by addressing client needs promptly and courteously, whether in person or via phone or email Support personal assistant tasks as needed, including travel arrangements or special project coordination Requirements Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting Exceptional phone etiquette and customer support skills for handling multi-line phone systems and front desk duties Experience with Paypay or bookkeeping is a plus but not mandatory Strong typing skills along with proofreading capabilities to ensure error-free documents Travel with me and the team to Factory's or project sites in both the US and Asia. Meet at coffee shops and other spaces with public wifi or the office for meetings. Time management skills to handle multiple tasks efficiently while maintaining attention to detail Keep me on task and help handle tasks that would otherwise occupy me.
