Sensitive Position No Job Description Reynolds is one of the largest community colleges in Virginia and serves Virginia's capital city and five nearby counties. Annually, our four campus sites serve approximately 13,000 credit students and provide training for 7,400 students through the Community College Workforce Alliance. The Administrative Assistant provides high-level administrative support to the Office of the President and the Chief of Staff/Director of Strategic Initiatives while serving as a key point of contact for internal and external stakeholders. This position is responsible for delivering exceptional customer service in person, by phone, and through written correspondence, while maintaining a high level of professionalism, discretion, and confidentiality in all aspects of the role. As the welcoming front-facing presence for the Office of the President, the Administrative Assistant supports the daily operations of the office by greeting and assisting visitors, managing incoming mail and correspondence, coordinating meeting logistics and room preparation, preparing monthly purchase card reconciliation packets, processing purchase orders through eVA, maintaining office supply inventory, and providing backup support to the Executive Assistant as needed. In support of the Chief of Staff, the Administrative Assistant assists with operational and strategic initiatives that support institutional effectiveness and follow-through. Responsibilities include entering and receiving orders through eVA, supporting procurement processes, assisting with budget tracking and expenditure monitoring, developing meeting agendas in collaboration with the Chief of Staff, coordinating event planning and logistics, supporting calendar management and scheduling, conducting research and compiling information for strategic initiatives, drafting and distributing meeting minutes, and tracking action items to ensure timely completion. The successful candidate will demonstrate strong organizational skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced environment. A proactive and resourceful approach is essential, including the ability to anticipate needs, work independently, and identify solutions effectively. This position also performs other duties as assigned in support of the mission and goals of the Office of the President. Special Assignments May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor. KSA's/Required Qualifications Experience managing multiple tasks, prioritizing responsibilities, and meeting deadlines in a fast-paced office environment. Experience maintaining accurate records, files, and documentation in digital and physical formats. Demonstrated ability in scheduling, coordination, and organizing meetings or events. Demonstrated skills in Microsoft Office, including Word, Excel, PowerPoint, and SharePoint. Experience gathering, organizing, and summarizing information from multiple sources to support decision-making. Demonstrated ability to work proactively, problem-solve, and find answers independently with minimal direction. Additional Considerations Experience working in a higher education office environment. Experience providing administrative support at the executive level. Experience maintaining or updating SharePoint sites or similar document management platforms. Experience organizing events and meetings. Familiarity with VCCS systems, including eVA, Boarddocs, and Microsoft Teams. Ability to draft, proofread, and format professional correspondence, agendas, and documents. Experience assisting with budget tracking or purchasing support (without direct fiscal responsibility). Experience drafting meeting minutes and tracking follow-up action items. Experience supporting calendar management for senior-level administrators.
