USTDA supports the development of overseas infrastructure projects that advance shared strategic interests of the United States and its partners, offering opportunities for export of U.S. solutions, technology, goods, and services.Please note:
This job posting is part of a contract bid opportunity and is intended to identify potential candidates for inclusion in our proposal to a client. This is not an immediate job opening. Employment is contingent upon the award of the contract. Position Overview This position provides information specialist support to USTDA's Information Resource Center, including administrative management, federal travel support, information and records management, and IRC functions. The role supports Agency operations and provides cross-coverage for event setup and AV troubleshooting.KEY DUTIES AND RESPONSIBILITIES
Information and Records Management Assist with input and updates to data in USTDA's Information Management Systems (MS SharePoint, TDAMIS) Support organization and verification of fiscal, program and project management, contract and grant, and related information data Assist with creating, processing, inventorying, organizing, and maintaining USTDA's library holdings database Support tracking checkout of project reports Process internal and external requests for project or Agency reports Assist in maintaining accurate inventory of project and program reports Administrative Management Support Provide administrative management support to USTDA operations and program staff Assist in creating and implementing organizational or administrative management policies and procedures Evaluate program effectiveness and recommend improvements Provide training and technical assistance to staff Support building and facilities management functions Assist with other administrative services including office management, human resources, and security Federal Travel Support Provide travel management support consistent with federal travel regulations Assist Agency staff with travel-related administrative needs Support coordination with the Office of Administration on travel and administrative management matters Event and Cross-Coverage Support Provide on-site technical support, troubleshooting issues with AV equipment during events such as microphone and monitor connectivity and presentation or visual material access Assist with setup of conference, board, and training rooms as required Provide cross-coverage of IRC duties as needed Assist with general office support including data entry, filing, and customer serviceREQUIRED SKILLS AND ABILITIES
Must possess and maintain a SECRET security clearance U.S. Citizenship required Proficient in Microsoft Office Suite (Outlook, Teams, Word, PowerPoint, Excel) Experience providing on-site technical support, troubleshooting issues with AV equipment during events Experience setting up conference, board, and training rooms Strong organizational and customer service skills Excellent written and verbal communication skills Commitment to innovative and quality customer service Ability to respond flexibly in a time-sensitive environment Ability to manage multiple tasks, prioritize work, and meet deadlines Ability to identify and resolve complex problems Strong attention to detail and accuracy Physical ability to move large numbers of files and file boxesEDUCATION AND EXPERIENCE
Minimum 5 years of administrative management or relevant work experience Experience creating and implementing organizational or administrative management policies and procedures Experience evaluating program effectiveness and recommending improvements Experience providing training and technical assistance to staff Experience in information and records management Experience with federal travel regulations Experience with administrative services such as office management, building and facilities management, human resources, or security Proficient in the use of a variety of IT programs, databases, and computerized systems College degree in business or information management and/or related certifications preferredPHYSICAL REQUIREMENTS
Physical ability to move large numbers of files and file boxes Ability to perform physical room setups including furniture arrangement Ability to handle and troubleshoot audio-visual equipmentWORK ENVIRONMENT
