Job Description

Full-time Office Assistant OakHeart Financial Group, a Private Wealth Advisory practice of Ameriprise Financial, is hiring for a full-time position in our active office. Expected hours are Monday-Friday, 8 AM to 5:30 PM As an Office Assistant, you will support our advisors and Client Relationship Managers and work directly with our clients in the financial planning process. Areas of responsibility include, but aren't limited to, the following:
  • Answer phone and client calls, and direct to appropriate person
  • Document all phone call and conversations for compliance purposes
  • Greet clients when they arrive for meetings and offer beverages
  • Manage Advisor Email Inbox
  • Make coffee/hot water each morning.
  • Keep lobby clean and refill candy, snacks, water glasses, business cards, and magazines
  • Collect, review and log mail each day
  • Scan and deposit checks
  • Order office supplies as needed, including USPS and UPS envelopes, and make sure office hub is clean and organized
  • Maintain office postage meter by ordering more postage and servicing meter as necessary
  • Update outgoing voicemail regularly
  • Coordinate office(s) kitchen cleaning
  • Order business cards, envelopes, and letterhead as needed
  • Scan client documents and save to Box, then notify appropriate staff
  • Update client addresses and contact info when needed
  • Problem solve office issues as necessary
  • Assist with management of office spaces and supplies in Charlottesville, Palm Springs, Richmond, and Chesapeake
  • Assist with coordination of and communication with cleaning staff at all offices
  • Assist advisor and team members with special requests, as needed
  • Maintain focus on all tasks with frequent interruptions
  • Complete training and/or continuing education necessary to keep abreast of compliance information
  • Complete training opportunities to utilize the most up-to-date technology through Ameriprise
  • Provide staff training as needed
  • Attend and participate in office meetings
  • Attend marketing and client appreciation events
  • Attend conferences deemed necessary for professional development
Job Requirements:

Ameriprise Financial and FINRA Education and Experience:
High school degree required Office experience preferred
