General Description:
•This is for fiscal year 2026-2027 •Provides bookkeeping services for the school/department. Provides clerical support and assists with procurement and coordination of purchasing to ensure the efficient operation of the department. Decisions require use of judgment based on general guidelines. Assists the Secretary with providing assistance and information to the public, teachers, and administrators at all levels within and outside of the department. Perform all necessary assignments under minimal supervision. Require handling of sensitive information and dealing tactfully with the public. Requires multi-tasking with different departments while also handling a high demand of customer interaction.Job Description:
Essential Job Functions:
Performs data entry of financial information Prepares a monthly reconciliation of purchasing cards Processes invoices from vendors and ensures invoices are routed through appropriate approval processes. Responds to telephone and walk-in inquiries related to status of purchase orders and payments to vendors. Answers phones for incoming calls. Meets and/or contacts vendors to resolve issues. Creates and maintains spreadsheets upon request. Serves as back up to the office team to address concerns, process work orders and other administrative clerical responsibilities. Support the payroll process as a back-up. Performs other related duties as assigned.Budgetary Responsibility :
Works within the restraints of the department budget.Report Preparation:
Assists in preparing and updating all information pertaining to budgets, grants, credit card statements and other reports as they arise. Prepares year-end reports including year-to-date and audit reports.Equipment Operation:
Operates personal computer, basic office equipment and equipment related to the area assigned.Contacts :
Administrators, support staff, school personnel, and the public.Work Direction/Supervision:

Must have the ability to sit and stand for extended periods of time; exhibit manual dexterity to use a telephone, to enter data into a computer terminal; to see and read a computer screen and printed material with or without vision aids; hear, understand speech and speak in audible tones so that others may understand clearly at normal levels indoors and on the telephone. Physical agility to drive, bend, stoop, sit on the floor, climb stairs, walk and reach overhead.Work Environment:
Regularly works in an office environment. The noise level in the work environment is quiet to moderate.Qualifications:
Knowledge of general accounting principles and bookkeeping functions. Some knowledge of departmental functions and responsibilities; of office operations and procedures; of business English and mathematics and office equipment to include manual and automated filing systems. Working skill in the use of a personal computer utilizing spreadsheet, word processing and database software (Excel, Word and Access preferred) and adding machines. Demonstrated ability to interpret and apply policies and procedures; to perform mathematical calculations and reconcile accounts and to assemble data and prepare reports. Demonstrated ability to communicate effectively both orally and in writing, exercise judgment and work effectively with all levels of the organization and the public.Additional Job Requirements:
High school diploma or equivalent. Education, training, or experience sufficient to demonstrate the required knowledge, skills and abilities.
