Job Description
Position Summary The Administrative Assistant provides administrative, operational, and recordkeeping support within a fast-paced industrial shipyard environment supporting U.S. Navy and government contracting operations. This position is responsible for maintaining accurate records, managing Excel-based tracking systems, supporting compliance documentation, coordinating administrative activities, and assisting shipyard leadership with daily operational requirements. The ideal candidate is highly organized, proficient in Microsoft Excel, capable of working in an industrial environment, and eligible to obtain and maintain government security clearance. Essential Duties and Responsibilities Maintain and manage Excel spreadsheets for labor tracking, production reports, training records, safety documentation, and project status updates. Perform accurate data entry and maintain organized electronic and hard-copy filing systems. Support NAVSEA program administration and shipyard operations documentation. Coordinate employee onboarding paperwork, certifications, badges, and training records. Track and maintain compliance-related records in accordance with NAVSEA, OSHA, and company requirements. Prepare reports, presentations, correspondence, and meeting minutes. Assist with purchase orders, invoice tracking, vendor communication, and inventory documentation. Coordinate meetings, schedules, travel arrangements, and conference logistics. Maintain confidentiality of company and government-sensitive information. Support audits, inspections, and government customer requests. Interface professionally with supervisors, trades personnel, subcontractors, and government representatives. Assist with timekeeping verification and workforce reporting as required. Perform additional administrative and operational support duties as assigned. Required Qualifications High school diploma or GED required; Associate degree preferred. Minimum of 2 years of administrative experience in an industrial, manufacturing, shipyard, construction, or government contracting environment preferred. Strong proficiency in Microsoft Office Suite, especially Microsoft Excel.

Spreadsheet management Data tracking and reporting Electronic filing systems Record retention Strong organizational skills and attention to detail. Ability to multitask and work in a deadline-driven environment. Effective written and verbal communication skills. Ability to work independently and as part of a team. Must be able to obtain and maintain a government security clearance. U.S. Citizenship may be required for clearance eligibility. Preferred Qualifications Experience supportingNAVSEA, U.S.
Navy, Department of Defense, or government contracts. Familiarity with ship repair, marine industrial, or shipyard operations. Knowledge of FAR, DFARS, and government compliance documentation. Experience using ERP systems, timekeeping systems, or project tracking software.Shipyard / Industrial
Physical Requirements- Must be able to lift and carry up to 50 pounds.
- Must be able to stand, walk, climb, bend, kneel, stoop, crouch, crawl, and work in awkward positions for extended periods.
- Must be able to work aboard ships, in tanks, in confined spaces, on scaffolds, on ladders, and at heights when properly trained and authorized.
Pay:
