General Description:
The Sr. Administrative Assistant performs complex administrative work within established procedures and standard practices across multiple departments. Work is performed under general supervision without specific instruction and requires coordination with others. Some specialized knowledge of the department's function is required. Contacts are frequently made at all organizational levels within and outside the department; requires handling of sensitive or controversial information and dealing tactfully with the public. Essential Job Functions:
Performs secretarial and administrative work required to ensure the efficient operation of the office, including preparation of the annual financial plan Screens visitors, telephone calls, and mail Responds orally and in writing to routine inquiries from within and outside the school system Directs non-routine matters to appropriate resources Maintains appointment calendars and schedules meetings Coordinates arrangements for meeting rooms, equipment and materials Maintains a petty cash fund and prepares monthly reports for accounts payable Performs time and attendance functions Supports professional development registrations and travel arrangements Assists with coordinating events scheduled through the Deputy and Superintendent's Office Performs assigned tasks to support the Superintendent, School Board, and Legal Services offices Coordinates and distributes work to office personnel, when appropriate Establishes and maintains working relationships with other offices, schools, and governing agencies Performs other duties as assigned Budgetary Responsibility:
Assists with maintaining department budgets; maintains petty cash funds Report Preparation:
Prepares regular reports to the issues related to school education programs and school operations, as requested Equipment Operation:
Utilizes computer and basic office equipment Contacts:
Establishes and maintains working relationships with other offices, schools, and governing agencies Work Direction/Supervision:

Extensive knowledge of office practices and procedures; the department's policies and procedures; the supervisor's responsibilities and school division programs. Demonstrated ability to edit work for proper grammar, spelling and punctuation. Skill in operating personal computers, utilizing spreadsheets, word processing and presentation software (Google Doc, Sheet and Slide preferred). Demonstrated ability to manage office activities and administrative work, related policies and procedures, communicate effectively both orally and in writing, exercise judgment and work effectively with all levels of the organization and the public.
