" Our organization provides services designed to help members of our community achieve their individual goals. MPNN BH has over 60 distinct programs to aid and support all ages and many situations. Job Summary Under limited supervision, performs variety of clerical and administrative duties in support of the Youth and Family Division. Work involves organizing, developing, and maintaining program forms, updating policies/procedures, tracking contracts and certifications, and tracking maintenance of materials and vehicles. Work involves overseeing typewritten correspondence and preparation of client files ensuring high degree of accuracy and reviewing records/charts to ensure they meet requirements for multiple funding sources. Employee is responsible for answering inquiries for information; filing, copying and compiling materials as needed; ordering items manually or by computer; assisting in maintaining program equipment and materials; and organizing program events for program participants and community development. Employee develops and maintains a variety of records, files, and databases. Employee must exercise significant independent judgment and initiative. Reports to the Sr Administrative Assistant/ Office Manager. Job Responsibilities Answers telephones; directs clients and calls to appropriate staff; provides general information regarding services and fees; refers clients to other BH Departments or service agencies. Performs general clerical duties that include typing documents, letters, and reports; opening, closing and purging client charts; and filing. Maintains client's charts and computer records; reviews client charts and records to ensure accuracy and completeness of all information and to ensure requirements of Part C, MPNN BH, Medicaid, private insurance, etc. are met. Runs reports in EHR related to staff activities, service recordings, and chart auditing. Copies charts as needed and appropriate for record release. Updates mailing lists (doctors, schools, hospitals, agencies, projects, staff lists) and prepares labels for large mailings. Organizes, develops, and maintains forms & forms book and policies and procedures to ensure they are current. Responsible for tracking information such as vehicle list and monthly maintenance checks. Assists in ordering and tracking materials on paper or through Internet and identifying office maintenance needs. Processing, and distributing of incoming mail Performs other related work as required. Assists in maintaining materials, including equipment, books, pamphlets, and other items and organizes/assists with Y&F parties and special events . Job Requirements Essential Must pass all required Background Checks. Must possess a valid Virginia Driver's License with reliable transportation and driving record acceptable to agency insurance carrier. Must obtain a TB test with satisfactory results within 30 days of employment, and yearly thereafter as required by licensing authority. Education and Experience High school diploma supplemented with two or more years' experience performing clerical and/or support services, preferably in an early childhood or health care setting; or any combination of training and experience which provides the required skills, knowledge, experience, and abilities.Benefits include:
