Responsibilities Greet visitors and clients warmly at the front desk, providing excellent customer service and professional phone etiquette. Operate multi-line phone systems to handle incoming calls, direct inquiries, and relay messages promptly. Manage calendar appointments, schedule meetings, and coordinate office events using tools like Google Workspace and Microsoft Office. Perform data entry, maintain filing systems, and ensure accurate record keeping through diligent proofreading and organization. Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking. Support office management activities such as supply ordering, inventory control, and maintaining cleanliness of common areas. Provide clerical support including typing correspondence, proofreading documents, and managing email communications efficiently. Requirements Proven experience in an office environment with strong clerical skills and familiarity with office management procedures. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Strong customer service skills with professional phone etiquette; bilingual abilities are a plus for diverse client interactions. Experience with multi-line phone systems, filing systems, and basic bookkeeping using QuickBooks or similar software. Previous experience as a receptionist or personal assistant is preferred; dental or medical receptionist experience is a bonus. Ability to handle confidential information discreetly while maintaining a positive attitude in a fast-paced environment.
