Founded in 2000 and headquartered in Virginia, the company specializes in design, engineering, fabrication, and installation services for commercial construction projects. With hundreds of employees and multiple facilities, the organization has built a strong reputation for quality, safety, and innovation while supporting large-scale projects across the DMV and beyond. The Warrenton office is a collaborative environment made up of accounting staff, Project Managers, and Field and Safety personnel supporting daily field and construction operations. Job Description Our client is seeking an Administrative Assistant to support the day-to-day operations of the Warrenton office. This individual will combine front desk and office management responsibilities with administrative support for the field and construction teams. The ideal candidate is organized, tech-savvy, detail-oriented, and eager to grow within a construction-focused environment. This is an excellent opportunity for someone with administrative experience who is looking to gain exposure to construction operations, compliance documentation, and project support. Key Responsibilities Administrative & Office Support Answer and direct incoming phone calls and emails Greet visitors and maintain a professional front office environment Coordinate incoming/outgoing mail and deliveries Order and maintain office supplies Assist with scheduling meetings, training sessions, and appointments Support management with calendars, coordination, and administrative tasks Prepare reports, spreadsheets, and correspondence Maintain organized office records and filing systems Field Operations & Compliance Support Review and submit employee time entries and manpower tracking Monitor for missing or incorrect time submissions Verify proper job and cost code usage Track daily reports and compliance submissions Maintain employee profiles, certifications, and project assignments Upload and organize safety forms, work plans, toolbox talks, and quality documents Submit documentation to customer and internal platforms Maintain organized electronic filing systems and Teams folders Employee & Project Coordination Assist with onboarding administration and employee data entry Process employee change forms Coordinate badging and site access requests Update employee and project information as needed Support field and safety teams with administrative requests Follow up on missing information and documentation Qualifications 3-5 years of administrative or office support experience Strong communication and organizational skills Tech-savvy with the ability to learn internal systems quickly Proficiency with Microsoft Office Suite (Excel, PowerPoint, PDF tools) Experience with DocuSign and/or UKG Ready preferred Construction or manufacturing industry experience is a plus, but not required Ability to multitask and manage deadlines in a fast-paced environment Strong attention to detail and accuracyAdditional Information Type:
