Job Description

Bridging the Gaps | Winchester, VA Bridging the Gaps is a small, residential treatment facility specializing in holistic integrative drug and alcohol addiction recovery. We are looking for a warm, confident, people-oriented Administrative Assistant to serve as the first point of connection for our clients, families, referral sources and staff. This role is essential to the daily flow of our clinical environment and requires professionalism, excellent judgment, and strong communication skills—particularly on the phone. What This Role Is Really About The Administrative Assistant is often the first voice and first impression of Bridging the Gaps. The majority of your workday will be spent on the phone — answering calls, having thoughtful conversations, gathering information, and guiding people with care and professionalism. This role is well‑suited for someone who is energized by human connection, can maintain boundaries, and follows through consistently in a fast‑paced clinical setting. Key Responsibilities • Greet visitors and clients with warmth, professionalism, and discretion Answer and manage a high volume of phone calls with warmth, clarity, and professionalism Engage compassionately in phone conversations with clients, families, and referral sources Schedule appointments for clinical and medical staff Create, scan, upload, and maintain client records in the electronic client records Assist with urine drug screens and breathalyzer testing Prepare correspondence and perform general administrative tasks Maintain office supplies, forms, and educational materials Communicate with staff via Outlook and Microsoft Teams Maintain strict confidentiality at all times Who You Are (What Can't Be Taught) We're looking for someone who naturally brings: Confidence and emotional steadiness Discernment and good judgment Curiosity and intuition Strong critical‑thinking skills Clear boundaries and self‑awareness Excellent attention to detail Genuine people skills and ease in conversation Strong listening and professional phone skills A warm, upbeat, energetic tone of voice Reliable follow‑through and accountability You must be comfortable spending most of your day on the phone. Required Experience & Skills Administrative Assistant experience (clinical or medical setting preferred) Strong organizational and time‑management skills Proficiency with Outlook, scanning/faxing, electronic client records, and Microsoft Teams Clear written and verbal communication Ability to multitask and handle frequent interruptions Qualifications & Requirements High school diploma or equivalent (business or office training preferred) Three professional supervisory references Passion for supporting individuals impacted by addiction Ability to pass pre‑employment and random drug screenings (including cannabis) Must be nicotine‑free while on duty Ability to pass fingerprinting and state/federal background checks (DBHDS) Applicants in recovery must have a minimum of two years free from active chemical dependency Why Work With Us You'll be part of a small, dedicated team doing meaningful work that changes lives—where professionalism, compassion, and quality of care truly matter.
