Job Description

We are looking for an Administrative Assistant to organize and coordinate administrative duties and office procedures. This position is part time and temporary with the potential to become permanent for the right candidate. Your role is to maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication. Duties and responsibilities include scheduling meetings and appointments, assembling tax returns, accurately logging all office projects in our workflow system, greeting visitors, and providing general administrative support to the firm and its employees. Previous experience as an administrative assistant or office administrator would be an advantage. Experience with a variety of office software (email tools, spreadsheets, databases, and pdf documents) will also be helpful. Ultimately, the administrative assistant should be able to ensure the smooth running of the administrative aspects of the office and help to improve company procedures and day-to-day operations. Responsibilities Serve as the point person for maintenance, mailing, supplies, equipment, bills, errands, shopping Schedule meetings and appointments; managing team calendars Partner with management to update and maintain office policies as necessary Organize office operations and procedures Coordinate with IT support on all office equipment Ensure that all items are invoiced and paid on time Provide general support to visitors Carefully log all projects as they come into the office into workflow system Assemble/e-deliver tax returns for clients Answering telephones and directing calls Communicating with clients and gathering data Preparing meeting materials Scanning, indexing, and filing client documents Skills Proven experience as an office manager or administrative assistant Knowledge of office administrator responsibilities, systems and procedures Proficiency in MS Office (MS Excel and MS Outlook, in particular) Hands on experience with office machines (e.g. scanners and printers) Familiarity with email scheduling tools, like Calendly and Teams Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational and planning skills in a fast-paced environment A creative mind with an ability to suggest improvements High School degree; additional qualification as an administrative assistant or secretary will be a plus An ideal candidate enjoys keeping everyone and everything organized. Background check and fingerprinting will be required.
