Job Description

Job Title:
Substitute Secretary Some of the most important moments in a school day happen before the first bell rings and long after classes begin. The school office is often the first place families, students, and community members turn for help, information, and reassurance. Nine Mile Falls School District is seeking Substitute Secretaries who are willing to step in and support school operations when regular office staff are unavailable. Substitute secretaries help ensure that the school office continues to function smoothly so students, staff, and families receive the support they need throughout the day. This role requires someone who is organized, calm under pressure, and comfortable working with a wide variety of people. Assignments may vary by building, but substitutes are trusted to follow direction, maintain confidentiality, and represent the district with professionalism and care.

Employees who work 630 hours in a school year will become benefit eligible for the remainder of the school year. Standard benefits include, Medical, Dental, Vision, Life Insurance and Long-Term Disability. Benefits are provided through the School Employee Benefits Board (SEBB) at https://www.hca.wa.gov/employee-retiree-benefits/school-employeesPositions anticipated to work 70 hours or more per month for at least 5 months over a 12-month period are eligible for Retirement through the State Department of Retirement Services.

The Substitute Secretary provides short-term clerical and administrative support within school offices. Under the direction of the building principal or designee, substitute secretaries assist with the daily operations of the school office and help ensure that communication, recordkeeping, and office procedures continue without interruption. Substitute secretaries may be assigned to elementary, middle, or high school offices and may assist with a variety of front office and clerical responsibilities depending on the needs of the building. This position frequently serves as the first point of contact for students, staff, families, and visitors. Professional communication, organization, and the ability to manage multiple tasks are essential.

2025/26 School Year Primary Job Functions Assignments may vary by building but commonly include: Provide front office support and serve as a point of contact for students, families, staff, and visitors. Answer telephones, respond to routine inquiries, and direct calls or messages to appropriate staff. Greet visitors and assist with check-in procedures in accordance with district safety protocols. Provide clerical and administrative support to school administrators and office staff. Maintain student attendance records and assist with routine data entry and recordkeeping. Process student sign-in/sign-out and assist with attendance tracking as directed. Assist with preparation, filing, and organization of documents, reports, and school records. Operate standard office equipment including computers, copiers, scanners, and multi-line phone systems. Assist with distribution of mail, messages, and materials within the school. Support communication between the school office, classrooms, and families. Provide general office support such as copying, filing, scheduling assistance, and document preparation. Maintain confidentiality when handling student information, staff information, and other sensitive records. Follow established school and district procedures for student safety and office operations. Perform other duties as assigned by the building administrator or designee. Perform other duties as assigned.
QUALIFICATIONS
Minimum Required Qualifications (Traits, Education, Experience, Training, physical requirements, etc.): High school diploma or equivalent. Basic clerical and computer skills, including familiarity with common office software and equipment. Ability to communicate effectively and professionally with students, staff, parents, and community members. Ability to organize work, manage multiple tasks, and respond calmly in a busy office environment. Ability to follow written and verbal instructions. Ability to maintain confidentiality regarding student and staff information.
Desired Qualifications:
Previous experience working in a school office or administrative office environment. Experience with student information systems or basic data entry. Experience providing customer service or front-office support.
Environmental Demands:
Air-conditioned building. Occasional exposure to weather extremes. Fluorescent/LED lighting. Physical Requirements The employee may be required to sit or stand for extended periods, use hands for keyboarding and office equipment, and occasionally lift or move office materials or supplies.
