You will be the first point of contact for clients and visitors, manage essential office tasks, and ensure a smooth workflow across departments. Duties Manage multi-line phone systems with professionalism, ensuring clear communication and prompt responses to inquiries Greet visitors at the front desk with friendly phone etiquette and provide outstanding customer support Schedule appointments, coordinate calendars, and handle calendar management for team members and executives Maintain accurate data entry records using spreadsheets, Microsoft Office, Google Workspace, and productivity software Organize files, documents, and correspondence through efficient filing systems and word processing skills Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping Support office management activities by overseeing supplies inventory, ordering necessary materials, and ensuring a well-organized workspace Skills Proven experience in office management or administrative roles with strong clerical experience Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry skills Strong organizational skills with the ability to multitask effectively in a busy environment Exceptional phone communication skills including multi-line phone systems and phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with front desk operations, medical or dental receptionist duties is a plus Knowledge of bookkeeping procedures using QuickBooks or similar software is advantageous Demonstrated ability to proofread documents accurately and manage time efficiently for maximum productivity This role offers a vibrant work environment where your organizational talents will shine!
