Job Overview Three step hiring criteria: Must have experience working in a healthcare clinic front desk setting Good attitude , helpful, proactive, sincere, reliable Must want to the job SWC is an outpatient mental health therapy clinic looking for a Front Desk Administrative Assistant to join our team! Full time option will be available if you can handle other tasks This is a particularly important role as the position touches all the important operational aspects of the clinic. From the interaction with the clients and therapists as well as the backend tasks of scheduling and billing and making the clinic feel like a welcoming safe space for clients. You will be the welcoming face of our organization, providing exceptional customer service and ensuring smooth office operations. Your energetic approach and organizational prowess will help create a positive environment for clients, visitors, and staff alike. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a professional and lively workplace. Duties Greet visitors and clients with a friendly, professional demeanor Manage phone calls, emails and appointment requests, outbound reminderers Check the mail and route them or scan and upload to the system Keep up with Insurance eligibility verifications and Ins claim submissions & Copays Support office activities, organizing supplies and maintain a tidy workspace Assist with scheduling for therapists or executives Requirements Proven experience in office admin & clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace Excellent phone etiquette skills Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with Electronic Health Record (EHR) systems Strong communication skills, both written and verbal, Demonstrated ability to manage time efficiently and prioritize tasks effectively Previous experience in customer support or personal assistant roles is a plus Knowledge of office management best practices and general clerical procedures Join us in creating a vibrant workplace where your organizational talents shine!
