Fully Onsite About the Role We are seeking an organized and detail-oriented Office Coordinator to support onsite workplace operations at our Seattle office location. This role is part of the Corporate Real Estate and Workplace Operations (CREWO) team and will be responsible for managing daily mailroom operations, document management, shipping coordination, and providing excellent customer service to employees. The ideal candidate has strong administrative skills, enjoys working in a fast-paced office environment, and can manage multiple priorities while maintaining accuracy and confidentiality. Key Responsibilities Mailroom & Shipping Operations Receive, sort, process, and distribute incoming and outgoing mail, packages, and parcels Scan and distribute digital documents to internal departments Operate postage equipment and prepare shipments using shipping platforms Coordinate domestic shipments of various sizes Maintain mail and package tracking reports and metrics Assist employees with mail-related requests and shipping needs Troubleshoot UPS/FedEx account issues and update account information as needed Create and maintain shipping user accounts Order and maintain mailroom supplies Assist with updating mailroom procedures and processes Document Management Maintain company physical document storage and retrieval systems Coordinate secure document storage, retrieval, and shredding services Schedule onsite shredding services and confirm completion Maintain accurate records of document transactions and inventory Ensure confidential documents are handled securely and according to company policies Maintain certificates of destruction and documentation records Workplace Support Assist with workplace operations projects and administrative tasks Support parking program coordination and respond to employee requests Partner with internal teams to resolve workplace-related issues Provide excellent customer service to employees and stakeholders Qualifications High school diploma preferred 2+ years of experience in mailroom operations, office coordination, or administrative support preferred Experience handling corporate mail, shipping, or document management is a plus Strong computer skills including Microsoft Outlook, Word, Excel, and shared drives Experience with UPS, FedEx, postage systems, or document management platforms preferred Strong attention to detail and ability to manage multiple tasks Excellent written and verbal communication skills Customer-focused mindset with professional communication skills Ability to handle confidential and sensitive documents appropriately Team player with a positive attitude and strong organizational skills Ability to lift up to 40 lbs and stand/walk for extended periods during the workday
Pay:
$27.00 - $28.50 per hour
