Job Description

Current contracted certificated staff members have 5 days from posting date to apply internally, other applicants will have consideration after the internal process is completed. Hourly wage per SLESP Collective Bargaining Unit and depends on verified school district experience. Position is M-F, 8hrs per day, 215 days per school year (includes 10 holidays).
JOB SUMMARY
This position performs a wide variety of secretarial, clerical and bookkeeping duties using independent judgment within generally defined methods, practices and procedures.
ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES
This list of essential functions is not exhaustive and may be supplemented as necessary. Depending upon individual assignment, the Secretary may perform all or a combination of several of the following duties: Organizes and coordinates office operations. Independently performs tasks involving personnel, and facilities and makes related decisions within scope of authority, often in the supervisor's absence. Assists in developing office procedures and policies; establishes and maintains recordkeeping systems. Formats, types, edits and proofreads correspondence, memos, forms, reports, meeting minutes, and other documents from handwritten draft, oral instructions, or dictation using a variety of computer applications; documents may be confidential in nature. Maintains and updates computer databases and spreadsheets by verifying and inputting a variety of student information, including new student registration, grades, transcripts, schedules, attendance, discipline and other records; generates recurrent reports such as current status lists and statistical summaries. Assists in budget monitoring and assists in the budget process. Processes purchase requisitions. Assists in assigning budget codes, inputting requisition on the computer, obtains appropriate approval and distributes or files building copy of purchase order. Establishes and maintains filing system of detailed student records including updating, transferring and purging of files. Coordinates, arranges and prepares necessary materials for major activities such as registration and open house. Maintains and updates inventories of supplies, books, furniture and equipment. May administer medication to students following state law and district policy. May provide direction, guidance and training of other clerical workers and student office aides. Performs receptionist duties by answering and routing telephone calls, and providing assistance and information to the public in person, by telephone, by email, and/or any other district communication system. Works cooperatively with principal and staff to maintain a safe school and caring learning environment. Dresses appropriately for a school setting. Performs other related duties as assigned. Additional Position-Specific Responsibilities Assist students who come to the office by providing appropriate support, direction, and communication with staff, families, or administrators, as needed. Serve as a primary point of contact for building radio communications. Monitor, screen, prioritize, and route radio communications to relay time-sensitive information related to student supervision, behavior support, safety, schedules, coverage, and daily building operations. Monitor elementary transportation-related radio communications during arrival and departure, bus loading, and unloading, as directed. Assist with maintenance of the building's website, social media, newsletters, and other communication platforms, as directed by the building principal.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of office practices, procedures and equipment. Knowledge of general bookkeeping practices and procedures. Skill in operating standard office equipment. Ability to effectively use a variety of computer applications such as Word, Excel, Skyward, and others as specified. Ability to develop and maintain office procedures and recordkeeping systems. Ability to independently plan, organize and coordinate office activities, often in supervisor's absence. Ability to perform calculations quickly and accurately and record and balance financial data. Ability to communicate effectively with district staff, students, parents and the general public using tact, courtesy and good judgment. Ability to work independently with a high degree of accuracy and attention to detail to meet deadlines. Ability to understand and execute verbal and written instruction, policies and procedures. Ability to maintain confidentiality of sensitive information. Good attendance and punctuality required.
MINIMUM QUALIFICATIONS
Education and Experience High School graduation or equivalent and two years of secretarial experience which included the use of computer applications and bookkeeping responsibilities; or any combination of education and experience which provides the applicant with the knowledge, skills and abilities required to perform the job. First Aid card may be required. Ability to successfully complete a basic skills assessment.
WORKING CONDITIONS
Office environment with frequent interruptions and high public contact. Requires extended periods of sitting, keyboarding, and computer work. Occasional lifting of up to 25 pounds. Frequent interaction with district staff, students, parents, vendors, and community members. This position reports directly to the Elementary Principal.
TERMS OF EMPLOYMENT
Schedule and hours per day will be determined by the Building Principal and District/student needs. Initial assignment may be subject to change due to needs of students, enrollment of students and needs of the district. Salary and benefits are granted per the Soap Lake Education Support Personnel Collective Bargaining Agreement.
