MaxCare is seeking a reliable and detail-oriented Water Mitigation Administrative Assistant to join our team. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and values accountability and organization in their work. The Water Mitigation Administrative Assistant is responsible for managing administrative and data entry tasks related to mitigation jobs, insurance programs, and TPA platforms. This person will work closely with Project Managers, Mitigation Managers, Estimators, and office staff to ensure documentation is accurate, timely, and compliant. The ideal candidate is organized, proactive, able to multitask effectively, and communicates professionally in a high-volume environment. Responsibilities- Work closely with the Operations and Administrative Manager to support departmental organization, workflow management, and documentation needs
- Enter and maintain accurate job documentation across various TPA, insurance, and internal platforms
- Upload photos, drying logs, estimates, invoices, notes, and supporting documentation in a timely manner
- Maintain detailed file notes and communication logs on every file touched to ensure accurate tracking and compliance
- Monitor TPA portals daily for new assignments, pending requests, deadlines, and compliance requirements
- Assist with job file setup, organization, auditing, and ongoing maintenance throughout the life of the claim
- Follow up with technicians, project managers, estimators, adjusters, and customers to obtain missing information and documentation
- Assist with scheduling inspections, monitoring appointments, and completing follow-up tasks
- Track outstanding items and ensure all required documentation is completed, updated, and uploaded promptly
- Help maintain department organization and compliance standards across all active files
- Support the mitigation department with general administrative and operational tasks as needed
- Communicate professionally and effectively in a fast-paced, high-volume environment while managing multiple priorities simultaneously Preferred Qualifications Previous administrative experience in restoration, construction, insurance, or a fast-paced office environment preferred Experience with TPA platforms such as Contractor Connection, Alacrity, XactAnalysis, or DASH preferred Strong computer and data entry skills High attention to detail and organizational skills Ability to prioritize and manage multiple deadlines Strong written and verbal communication skills Ability to work independently while supporting a team environment Experience with Microsoft Office and Google Workspace preferred What We're Looking For Someone proactive and dependable Strong sense of urgency and accountability Ability to stay organized in a high-volume environment Positive attitude and willingness to learn Team player who communicates professionally and respectfully Benefits Medical and Dental Insurance Paid holidays 401(k) Growth opportunities within a rapidly growing company Supportive team environment
