Job Description

Job Summary:
The Zoning Office Administrative Assistant II performs a variety of administrative duties to support the operations of the Vilas County Zoning Office. All duties and responsibilities are performed under and subject to the direction of the Zoning Administrator.
Essential Duties:
1. Provides clerical, secretarial, and administrative support to the Administrator and the Deputy Zoning Administrators. This includes but is not limited to: supplying information to the public and other public entities regarding the Zoning Office's activities and the County's Zoning, Sanitary, Subdivision, Non-Metallic Mining, Metallic Mining, Wireless Communication and Highway Setback ordinances; maintains daily schedules for Deputy Zoning Administrators. Schedules, researches, provides documentation, and reserves space for meetings and public hearings. Opens and directs incoming mail, and prepares and sends outgoing mail. Collects fees for, zoning maps, zoning ordinances and other miscellaneous sales. Researches required data for zoning projects and assists in completion of these projects. 2. Provides information and assistance to the public in re-zoning requests, conditional use requests and permits, variances/appeals, and other formal submissions to the Zoning Office. This includes but is not limited to providing information to people relating to the basic requirements of the County's zoning and land use ordinances. Interprets and locates legal descriptions and parcel identifications, and helps identify the needs of individuals to facilitate effective responses to their concerns. This can also include dealing appropriately and effectively with emotional, upset, or angry individuals. 3. Assists in all of the record keeping requirements of the Zoning Office as directed by the Administrator. Assists in budgets for general and outlay accounts. 4. Attends and takes minutes of the meetings of the Zoning and Planning Committee, Board of Adjustment and other meetings as necessary or required. 5. Processes, maintains statistical information and data entry for all permits and correspondence in the Zoning Office. Provides and maintains sanitary system maintenance program, holding tank reports, agreements, review and process all WI Fund information to the State for payment. Sends out reports for States share of fees collected for Sanitary Systems and Non-metallic Mining Permits. 6. Maintains confidentiality regarding Zoning Office operations. 7. Maintains technical knowledge by attending seminars and training, reading publications and reports, and otherwise refreshing and upgrading job-related skills.
Education/Work Experience:
High School Diploma or Equivalent In addition to Education, one to three years' experience in an office setting.
Essential Skills:
  • Knowledge and experience in zoning or land use planning is preferred.
  • Knowledge and experience with county or municipal government is preferred.
  • Ability to communicate effectively with County employees, other officials, and members of the public.
  • Must be able to meet deadlines, work accurately and efficiently, work cooperatively with difficult people, and work independently (without constant supervision and specific assignment.
  • Must be proficient in, and display: organization, prioritization, written and interpersonal communication, moderately difficult math skills, and knowledge and use of contemporary office procedures and equipment.
