Join our dynamic team as an Administrative Assistant/Receptionist, where your energy and organizational skills will be a key player in our office! In this vital role, you will be the first point of contact for clients and visitors, ensuring a welcoming environment while managing a variety of administrative tasks. Your proactive approach and attention to detail will help keep our office running smoothly and efficiently. This position offers an exciting opportunity to use your office management skills in a fast-paced, supportive setting. Duties Greet clients and visitors warmly, manage front desk operations, and provide exceptional customer support Answer and direct multi-line phone systems with professionalism and courtesy Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office, Zoho and Google Workspace tools Perform data entry, filing, scanning and maintain accurate records using computer literacy and organizational skills Handle some bookkeeping tasks with QuickBooks, Ultratax and other software platforms Support office management by overseeing client management, filing systems, and general clerical duties Communicate accounting, investment and tax related information to clients Proofread documents for accuracy and clarity, ensuring high-quality communication across all materials Experience Prior office experience or clerical experience demonstrating strong organizational skills and attention to detail Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Zoho Office Suite and Google Workspace applications Familiarity with multi-line phone systems and phone etiquette to ensure professional communication Experience with QuickBooks and other bookkeeping software is desirable Bilingual abilities are a plus Strong data entry skills with a focus on accuracy and speed; excellent proofreading capabilities Demonstrated ability to manage time effectively in a busy environment while prioritizing tasks efficiently Personal assistant or office management experience is advantageous but not required; willingness to learn is essential This role is perfect for motivated individuals eager to contribute to a vibrant team while honing their administrative expertise.
