Job Description

Reporting Relationship:
This position reports to the
Principal Exemption Status:
Non-exempt/Hourly; up to 30 hours per week, flexibility of hours for some nights and weekend activities. Position Overview The Administrative Assistant provides overall structure and administrative support in the day-to-day needs in running the operations of the school. Handle office and administrative duties in an efficient and service-oriented manner. Key responsibilities may include, but are not limited to, the following: Operations Responsible for opening the school daily and ensuring all office equipment is ready to go for the school day. Provide oversight to students who arrive prior to the start of the school day, if necessary. Provide a safe school and screen all those who enter the facility during the day. Ensure only authorized personnel enter the school. Ensure the documentation of the school meal program. Where applicable, work with van service to ensure driver attendance and processing of expenses related to van service (e.g., gas, maintenance). Point of contact for school first aid needs to students. Administrative Provide general administrative support to the Principal and others in the school, as necessary. Draft and generate correspondence, as needed. Answer school phones and receive visitors to ensure resolution of questions and inquiries. Ensure all attendance has been entered electronically and import daily attendance before 9:00 A.M. Organize student tardy and excused absence records. Overall responsibility for collection of all money associated with the school treasury, including but not limited to: chapel, fundraisers, field trips, uniforms, gas and donations. Ensure collection, tracking and depositing of school money. Work with the LUMIN Director of Compliance with the administrative work associated with WI DPI School Choice program. Assist in the registration and auditing process, as applicable. Provide administrative and enrollment packets to students each year. Ensure accurate completion and retention of all paperwork. Send out student welcome letters and annual calendar. Experience and Requirements High school diploma or equivalent required. Some posthigh school course work in a related field is desired. Experience in an office environment handling a variety of tasks. Proficient computer skills, particularly with Microsoft products, Google apps, Skyward (Student Information System) and email. Ability to effectively perform administrative tasks and operate basic office equipment. Experience handling and tracking money. Understanding of basic accounting and bookkeeping. Friendly, outgoing personality that will provide service and assistance to all parents, students, faculty and external visitors. Ability to maintain confidentiality and work in a professional manner with a diverse population of children, youth and adults. Possess the ability to establish a rapport with youth, parents and other staff, while maintaining appropriate boundaries. Excellent communication skills. Ability to communicate and work in multiple settings and environments. Working Conditions Ability to work in a highpaced environment requiring multiple interruptions during the work day. Work will be performed in a school environment. Willingness and ability to be outside with students during recess/breaks as needed. Ability to sit and stand for long periods of time, depending on work task.
