Job Description

Job Summary We are seeking a dynamic and highly organized Office Secretary to join our team! This vital role ensures the smooth operation of daily office activities, providing exceptional administrative support and maintaining efficient office workflows. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a welcoming environment for clients and staff alike. Your energy and enthusiasm will help drive our office forward, ensuring all tasks are completed with precision and professionalism. Duties Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism Operate multi-line phone systems, screen calls, and handle inquiries with courteous phone etiquette Perform data entry, maintain accurate filing systems, and organize documents for easy retrieval Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping Coordinate calendar management and schedule appointments or meetings efficiently using Google Workspace or Microsoft Office tools Support office management activities including supply inventory, equipment maintenance, and general administrative tasks Proofread correspondence, reports, and other documents to ensure accuracy and clarity Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times Skills Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), and Google Workspace applications Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent typing speed and data entry skills for accurate record keeping Bilingual abilities are highly desirable to serve diverse clientele effectively Demonstrated experience in office management, clerical duties, and administrative support roles Exceptional phone etiquette with experience handling multi-line phone systems and customer service interactions Knowledge of bookkeeping principles combined with computer literacy for financial tasks Strong time management skills to prioritize tasks efficiently while maintaining attention to detail Personal assistant experience or familiarity with calendar management is a plus Join us in creating a vibrant office environment where your skills make a real difference!
