Office Assistant (Contract) About Green Light Housing & the Role Green Light Housing is a driven, values-based real estate developer, investor and owner of a rapidly growing portfolio of housing across the Northwest. As we expand into homebuilding and construction with two new ventures, Heron Homes and Brightline Construction, we're seeking an Office Assistant to help keep our operations running smoothly and support the teams across our multiple business lines. We define success by being a good partner and enhancing the lives of the residents in the communities we serve. We're looking for the right person to join our fast-paced, collaborative and results-oriented team. You'll be the point person for our physical office and administrative needs. It's a part-time, flexible role, and we care most about tasks being handled reliably and efficiently. Key Responsibilities
OFFICE FACILITIES
- Coordinate repairs, maintenance, and furniture setup with vendors
- Maintain office hardware and equipment
- Restock office supplies
- Manage office security system (SimpliSafe), access, and keys
IT & SOFTWARE SUPPORT
- Serve as the first point of contact for day-to-day IT and software questions
- Troubleshoot and resolve common hardware, software, and settings issues
- Escalate and coordinate with our external IT providers for issues beyond first-line support
- Manage user accounts and access across our core systems
MAIL, DOCUMENTS, & FILING
- Scan, sort, file, and distribute incoming mail, and manage outgoing mail as requested
- Monitor and route messages from our general inbox and business voicemail
- Maintain paper and electronic filing systems
ADMINISTRATIVE/PROJECT SUPPORT
- Coordinate business travel
- Run general errands
- Plan and execute company gatherings, team events, retreats, groundbreakings, grand openings, and volunteer activities
- Manage new-hire onboarding
- Administer cybersecurity training What We're Looking For
- Highly proficient across our tech stack (Microsoft 365, Google Workspace, DocuSign, Claude, ChatGPT, Zoom, 1Password, Adobe Acrobat, and Asana)
- Confident troubleshooting everyday IT and software issues
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Time management and the ability to work independently
- Reliable, professional, and adaptable to changing priorities
