WHO YOU ARE
This position performs a crucial role in the operations of the company. This position is responsible for preparing and packaging outgoing mail, which may consist of correspondence, publications, or supplies to our members, employees, or contractors. This position performs all incoming mail responsibilities, including pick up from the post office, opening, and sorting by department and/or individual.
ESSENTIAL JOB FUNCTIONS
Receives incoming mail and prepare outgoing mail for all departments and all carriers. Picks up and delivers mail (including inter-departmental) to departments and/or individuals. Ensures all incoming mail is date and timestamped prior to delivery. Scans and emails incoming mail for departments and individuals that are working outside of the Oklahoma City office. Coordinates mail activities with department heads. This includes mail presentation, pickup, delivery, and compliance. Prints, folds, stuffs, seals, and tracks mail, as needed. Appropriately posts all outgoing mail. Postage should be adequate for delivery and compliance, yet as economical as possible. Works with Accounting on adequate account balances for postage systems. Ensures all equipment is properly maintained and repaired. Makes daily trips to the post office. Occasionally provide courier service in Oklahoma City and up to two hours from the Oklahoma City office. Operates various types of office equipment (mail metering, letter openers, timestamps, insertion equipment, etc) Maintain a clean and organized work area to promote a safe and productive environment Maintain a queue or shared inbox to ensure timely delivery of printing and mail requests Quality check outgoing items for accuracy, correct quantity, size, etc Prepare and maintain reports containing incoming and outgoing mail details Coordinate parking passes for visitors and hybrid employees visiting the Oklahoma City office. Monitor external fulfilment vendor inventories Occasionally make outbound telephone calls to verify addresses. Must maintain confidentiality of business information, including Protected Health Information (PHI), as required by HIPAA and company policy. Performs other duties as assigned
EDUCATION AND EXPERIENCE
Associates degree or equivalent, preferred High school diploma or equivalent required At least 1 year in a mail room or fulfillment setting required.
KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of Microsoft Office programs including Word, Excel, and Outlook Proven ability to work independently or as a member of a team Excellent customer service skills. Strong organizational, prioritization, and time management skills. Able to multi-task, work under pressure and meet required deadlines. Strong verbal, listening, and written communication skills Good interpersonal skills, professional presentation and ability to work well with others. Dependable through attendance and adherence to timelines and schedules Current driver's license and clean driving record. Displays follow-through on projects and deliverables. Strong attention to detail. Maintain strict confidentiality guidelines.
WORK ENVIRONMENT
Work is normally performed in a climate-controlled office environment, where exposure to conditions of extreme temperatures, poor ventilation, fumes, and gases is very limited Noise level is moderate and includes sounds of normal office equipment (computers, printers, telephones, etc.) Duties are performed while standing, walking, bending down, and sitting. Most duties can be accomplished while sitting. Work includes occasional pushing, pulling, lifting, and carrying of objects weighing up to 50 pounds (computer equipment, computer paper, files, mailing/packing supplies etc.) Duties require finger dexterity, eye-hand coordination, and normal range of vision and hearing for the safe operation of computer equipment
TRAVEL:
May require limited travel for offsite meetings or training
SUPERVISORY RESPONSIBILITY
This position has no supervisory responsibility.
