Job Description
Job Overview We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will manage a variety of administrative tasks, support office operations, and provide exceptional customer service. This position offers an exciting opportunity to contribute to a well-organized workplace while developing your skills in office management, clerical support, and customer support. Responsibilities Maintain organized filing systems, data entry records, and ensure accurate document management Perform general clerical duties such as photocopying, proofreading documents, and mailing correspondence Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and communication Handle incoming emails and phone calls with excellent phone etiquette and customer service skills Assist with office management duties to ensure smooth daily operations Provide personal assistant support as required, including time management and task prioritization
Client & Family Coordination:
Intake scheduling, Waitlist management, Communicate schedule changes, Assist with onboarding paperworkDocumentation Compliance Ensure:
RBT session notes are complete, BCBA notes meet payer requirements, Signatures are present, Return incomplete notes for correction Qualifications Proven office experience with strong organizational skills and attention to detail Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets) Previous clerical or administrative experience preferred; familiarity with data entry and filing systems essential Strong customer service orientation with professional phone etiquette skills Bilingual abilities are a plus to serve diverse client needs effectively Experience with multi-line phone systems and front desk operations highly desirable Knowledge of QuickBooks or bookkeeping experience is advantageous Ability to manage time efficiently and prioritize tasks in a fast-paced environment Join us to be part of a vibrant team dedicated to delivering outstanding service while supporting the efficient operation of our office.
