Job Description

Job Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience from the moment they walk through the door. Your energetic approach and excellent organizational skills will help maintain smooth office operations, manage multi-line phone systems, and support various administrative tasks. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a vibrant team environment. Responsibilities Greet visitors warmly, verify appointments, and direct them appropriately within the office setting Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls efficiently Handle incoming and outgoing correspondence, including emails, mail, and packages using Google Workspace and Microsoft Office tools Maintain accurate records through data entry, filing, proofreading, and updating databases such as QuickBooks or other office management software Support calendar management and scheduling for staff or medical/dental appointments as needed Assist with clerical duties such as photocopying, scanning, proofreading documents, and organizing files Provide exceptional customer service by addressing questions or concerns with patience and clarity while maintaining excellent phone etiquette Qualifications Proven office experience with strong computer literacy in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with multi-line phone systems and excellent phone etiquette skills Bilingual abilities are highly desirable to serve diverse client needs effectively Strong organizational skills with attention to detail in data entry, filing, and proofreading tasks Previous clerical or administrative experience in a professional setting is preferred Familiarity with QuickBooks or bookkeeping software is a plus Ability to manage time efficiently and prioritize tasks in a fast-paced environment Personal assistant or medical/dental receptionist experience is advantageous but not required Join us to be part of a supportive team dedicated to delivering outstanding service while honing your administrative talents!
