Job Description

Job Summary We are seeking a dynamic and organized Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and supporting office management tasks. The ideal candidate will possess strong communication skills, be highly organized, and demonstrate proficiency with office software and multi-line phone systems. Bilingual abilities are a plus, enabling effective communication with diverse clients and visitors. Duties Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, screen calls, and direct inquiries efficiently Maintain front desk organization, including filing, data entry, and handling incoming correspondence Schedule appointments, manage calendars, and coordinate meetings for staff members Support office management by overseeing supply inventory, organizing documents, and assisting with clerical tasks such as proofreading and data entry Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and communication Provide excellent customer support through professional phone etiquette and personalized assistance Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed Perform general administrative duties such as photocopying, faxing, and maintaining organized filing systems Experience Previous office experience in a reception or administrative role preferred Proven clerical experience demonstrating strong organizational skills and attention to detail Familiarity with multi-line phone systems and office management procedures Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry tools Experience in customer service or customer support roles emphasizing excellent communication skills and professionalism Bilingual abilities are highly desirable to effectively serve diverse populations Knowledge of medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is valuable Strong time management skills with the ability to prioritize tasks efficiently Join our team to be part of an energetic environment where your organizational talents shine!
