Job Description

Revive Medical Spa, LLC is seeking a polished, detail-oriented Front Desk Coordinator to join our Dermatology-Led Aesthetics team. Operating alongside Advanced Dermatology & Skin Cancer Center, PLLC, Revive Medical Spa delivers results-driven aesthetic treatments within a medically directed environment. Our treatments support long-term skin health through clinically proven services, personalized recommendations, and results you can see. Every visit is guided by expertise, safety, and a commitment to high-quality outcomes. Position Overview The Front Desk Coordinator is the first and last impression of Revive Medical Spa. This role is responsible for delivering an exceptional, elevated client experience while efficiently handling front desk operations in a fast-paced, luxury medical spa setting. The ideal candidate is personable, highly organized, and thrives in a collaborative, client-focused environment. Key Responsibilities Client Experience Greet each client with a warm, professional, and personalized welcome Deliver exceptional service by anticipating client needs and creating an elevated experience at every visit Answer phones promptly with a clear, friendly, and professional tone Manage multiple incoming calls, appointments, and in-person interactions with efficiency Schedule, update, and confirm appointments; check clients in and out seamlessly Process payments accurately for services and retail products Build and maintain strong client relationships to encourage loyalty and retention Address client questions and concerns with professionalism; escalate when appropriate Gather client feedback and resolve concerns to ensure a positive experience Operations & Administrative Support Open and close the spa in accordance with daily procedures Maintain accurate client records, scan documentation, and ensure database integrity Operate booking and medical software systems with proficiency Handle cash, process transactions, and balance the cash drawer daily Maintain a clean, organized, and fully stocked front desk and lobby area Monitor retail and supply inventory; notify management when stock is low Assist with general spa upkeep, including light cleaning and laundry tasks Support retail efforts and be prepared to assist as a Retail Consultant when needed Attend meetings, trainings, and events as required Maintain client confidentiality and adhere to HIPAA/privacy standards Follow all spa safety, sanitation, and operational protocols Position Requirements Detail-oriented with strong multitasking abilities Ability to thrive in a fast-paced, luxury environment Enthusiastic with exceptional customer service skills Strong communication, listening, and computer proficiency Basic math skills required Friendly, outgoing personality with a passion for working with people Team-oriented with a collaborative mindset Evening and Saturday availability required ________________________________________ What Will Make You Successful Self-motivated and able to work independently while supporting the team Positive, professional attitude that contributes to an upscale environment Strong attention to detail and efficiency in all tasks Reliable with consistent attendance and punctuality Maintains a clean, polished, and professional appearance Comfortable problem-solving and adapting in a dynamic setting ________________________________________ Qualifications High school diploma or GED required; some college preferred Must be 21+ years old 1+ years of customer service experience (hospitality or spa experience preferred) Proven ability to deliver superior service in a fast-paced environment Computer proficiency required Bilingual a plus Availability during weekdays, evenings, and
