Your energy and organizational skills will be the heartbeat of our busy law firm. In this vital role, you will serve as the first point of contact for clients and visitors, manage a variety of administrative tasks, and ensure the smooth operation of daily office functions. Your proactive approach and excellent communication abilities will help foster a professional and welcoming atmosphere, supporting our attorneys and clients alike. This paid position offers an exciting opportunity to develop your office management expertise within a reputable legal practice. Duties Greet clients, visitors, and vendors warmly, providing exceptional customer service at the front desk Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently Handle appointment scheduling and calendar management for attorneys and staff Perform data entry, filing, and document proofreading to maintain accurate records Utilize office management software including Microsoft Office, Clio, Google Workspace, and others for various administrative tasks Support general administrative activities such as coordinating food, events, and tracking when needed Maintain organized files and ensure confidentiality of sensitive legal documents Assist with general clerical duties like photocopying, faxing, and mail distribution Requirements Excellent Experience with multi-line phone systems and phone etiquette to handle inquiries professionally and with care Proven office experience with strong clerical skills in a professional setting Bilingual abilities are highly desirable to serve diverse client needs effectively Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively Attention to detail for proofreading documents and data entry accuracy Previous experience in legal or medical receptionist roles is a plus but not required Legal, Personal assistant, or dental/medical receptionist experience is advantageous for understanding client interactions in specialized environments Knowledge of office management practices including filing systems, calendar management, and bookkeeping basics This role is perfect for motivated individuals eager to grow their administrative career within a supportive legal team.
