Job Description

We are seeking a warm, organized, and empathetic Front Desk Receptionist to be the first point of contact for our patients. You'll play a vital role in delivering an exceptional patient experience—from greeting and guiding families to managing multi-line phone systems and handling billing tasks. Key Responsibilities Warmly greet patients and families, creating a calm and supportive atmosphere. Operate multi-line phone systems : answer calls promptly, screen clinical vs. front-line inquiries, and route or take detailed messages. Schedule and confirm appointments using EMR/calendar software; manage changes and maintain efficient patient flow. Collect and balance patient payments : co-pays, self-pay balances, insurance payments; accurately post transactions and maintain financial logs. Verify insurance and update records , ensuring accuracy in patient demographics and coverage status Assist non-clinical inquiries with empathy and discretion; direct clinical questions to providers. Maintain reception area : tidy environment, supplies stocked, mail and fax handled efficiently. Required High school diploma or equivalent 1-2 years of experience in medical or fertility office reception or related administrative role Experience in reproductive endocrinology/IVF environments Excellent verbal and written communication; friendly telephone manner Empathy and professionalism, especially during emotional patient interactions Ability to manage multi-line phone systems and message handling Strong organizational skills, attention to detail, and multi-tasking ability Discretion and strict adherence to HIPAA regulations
