Job Description

Job Summary We are seeking an energetic and professional Front Office Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression and supporting the overall efficiency of our office environment. Duties Greet visitors and clients warmly, ensuring a professional and friendly first impression Answer, screen, and direct incoming calls using multi-line phone systems with excellent phone etiquette Manage appointment scheduling and calendar coordination for staff and executives Handle data entry, filing, and document proofreading to maintain accurate records Operate office equipment such as printers, fax machines, and computers efficiently Support office management tasks including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Assist with administrative tasks like typing correspondence, managing emails via Google Workspace or Microsoft Office, and supporting customer support inquiries Skills Proven experience in office management or as a front desk receptionist with strong organizational skills Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Familiarity with multi-line phone systems and phone etiquette best practices Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with clerical duties such as data entry, filing, proofreading, and calendar management Knowledge of QuickBooks or bookkeeping is a plus for handling basic financial tasks Excellent customer service skills with a friendly demeanor and professional communication style Strong time management skills to prioritize tasks efficiently in a fast-paced environment Join us to be part of a vibrant team dedicated to delivering outstanding service while supporting the daily operations of our organization.
