In this vital role, you will be the welcoming face of our organization, managing front desk operations and providing essential administrative support to ensure smooth daily functions. Responsibilities Greet visitors and clients warmly, ensuring a positive first impression Manage multi-line phone systems, directing calls efficiently and professionally Handle incoming correspondence, emails, and inquiries with promptness and courtesy Maintain organized filing systems, both physical and digital, including data entry and document proofreading Support scheduling activities by managing calendars and appointment bookings using Google Workspace or Microsoft Office tools Assist with bookkeeping tasks using QuickBooks or similar accounting software Perform general office management duties such as ordering supplies, organizing files, and supporting team members with clerical tasks Ensure excellent phone etiquette and customer service at all times Support personal assistant functions like calendar management and time coordination for executives Experience Prior office experience or clerical background demonstrating strong organizational skills Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with multi-line phone systems and front desk operations preferred Bilingual abilities are a plus to assist diverse client needs Knowledge of QuickBooks or bookkeeping experience is highly desirable Strong typing skills with attention to detail for data entry and proofreading tasks Excellent time management skills with the ability to prioritize multiple responsibilities effectively Join us in delivering exceptional administrative support while fostering a welcoming environment!
