Job Description

Overview We are seeking an energetic and detail-oriented Front Desk Coordinator/Administrative Assistant to join our dynamic team. In this vital role, you will be the welcoming face of our organization, managing front desk operations with enthusiasm and professionalism. Your organizational skills and proactive attitude will ensure smooth office functioning, exceptional customer service, and efficient administrative support. Duties Greet visitors, clients, and staff with a friendly and professional demeanor, creating a welcoming atmosphere Manage multi-line phone systems, directing calls accurately and courteously while providing excellent customer support Handle incoming correspondence, emails, and inquiries promptly and efficiently Maintain organized filing systems, including electronic documents via Google Workspace and Microsoft Office applications Perform data entry, proofread documents, and ensure accuracy in all clerical tasks Schedule appointments, manage calendars, and coordinate meetings for team members or executives Support office management activities such as ordering supplies, maintaining inventory, and overseeing general administrative functions Provide bilingual support to serve diverse client needs effectively (if applicable) Requirements Bilingual- Fluent in Spanish and English Proven experience in Dental clinic administration with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Familiarity with multi-line phone systems and phone etiquette best practices Excellent written and verbal communication skills; bilingual ability is a plus Strong data entry skills with high accuracy and attention to detail Experience with Dental Software and basic trouble shooting Dental terminolgy understanding Demonstrated ability to manage calendars, schedule appointments, and handle time-sensitive tasks efficiently Previous experience in customer service or as a receptionist in dental settings is advantageous Ability to maintain confidentiality and handle sensitive information professionallyJoin us as a Front Desk Coordinator/Administrative Assistant where your enthusiasm for organization and customer support will make a meaningful impact.
