In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer support. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your administrative skills in a dynamic environment that values professionalism and proactive service. Duties Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring a warm first impression Manage multi-line phone systems, directing calls efficiently and providing accurate information Perform data entry and maintain organized filing systems to support office operations Utilize computer skills including Microsoft Office, Google Workspace, and basic bookkeeping software like QuickBooks for administrative tasks Schedule appointments, manage calendars, and coordinate meetings with excellent time management and organizational skills Handle clerical duties such as proofreading documents, managing correspondence, and maintaining office supplies Support office management by overseeing general administrative functions, including filing, photocopying, and assisting with special projects Qualifications Proven office experience or clerical experience demonstrating strong organizational abilities Proficiency in computer literacy with familiarity in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with multi-line phone systems and phone etiquette to handle inquiries professionally Bilingual abilities are highly desirable to serve diverse client needs effectively Strong customer service skills with a friendly attitude and professional communication style Knowledge of office management practices including calendar management, data entry, filing, and proofreading Ability to prioritize tasks efficiently while maintaining attention to detail in a fast-paced environment Previous experience as a dental or medical receptionist or personal assistant is a plus but not required Join us in delivering outstanding front desk support that keeps our organization running smoothly!
