Job Overview Boutique estate planning and probate law firm in Cerritos is seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and ensuring the smooth operation of our office. The ideal candidate will possess strong customer service and organizational skills, be tech savvy, and able to independently manage projects. Hours Monday to Friday, 10am to 2pm. Duties Follow up with potential clients and leads through phone, email, and text. Implement and monitor Clio Grow pipeline to track new client leads. Greet and assist visitors and clients in a friendly and professional manner. Manage phone systems, including answering calls, directing inquiries, scheduling appointments, and taking messages as needed. Perform clerical duties such as filing, data entry, and maintaining organized records. Manage attorney's appointment calendar using Outlook. Provide customer support by addressing inquiries and resolving issues promptly. Proofread documents for accuracy and clarity before distribution. Ensure the reception area is tidy and welcoming at all times. Miscellaneous tasks and organization projects as needed. Experience Spanish speaking is preferred. Previous experience as a receptionist or administrative assistant is preferred. Previous experience working in a law office is preferred. Familiarity with phone systems and office equipment is essential. Proficiency in computer applications, including Microsoft Office Suite and Adobe. Proficiency in Clio Grow is a plus. Strong organizational skills with attention to detail to manage multiple tasks effectively. Must be a self-starter and independent thinker. Excellent communication skills, both verbal and written, to interact with clients and team members professionally. Experience in customer support roles is a plus, particularly within a law office setting.
